PERSONAL ASSISTANT

ADMINISTRATION | Kuala Lumpur, Malaysia

Job Purpose

To provide high level administrative and secretarial support to the Group Managing director and Group Executive Director, ensuring the effective management of schedules, communication and daily operation, while maintaining strict confidentiality and professionalism. 

Key Responsibilities

  • Manage personal affairs, including appointments, travel arrangements, errands and private documentation.
  • Coordinate daily work tasks, schedules and priorities for both Executives.
  • Monitor, manage and respond to emails and correspondence on behalf of the Executives.
  • Attend and support high-level meetings (internal and external), including those requiring outstation or overseas travel.
  • Assist in preparing and managing bids and proposals under as directed.
  • Coordinate and host client meetings, lunches and dinners professionally.
  • Represent the Group Directors in meetings during their absence.
  • Handle confidential ONC (On-Need-to-Know) matters and sign a Non-Disclosure Agreement (NDA)
  • Think critically, plan ahead and manage/support special projects, both personal and corporate.
  • Organize and maintain filing systems, calendars and meeting schedules
  • Draft letters, memos, reports and other documents as required.
  • Prepare presentation slides and assist in meeting preparation.
  • Follow up on tasks and ensure deadlines are met.
  • Liaise with internal teams, external clients and partners effectively.

Requirements

Qualifications and Experience

  • Diploma or Degree in Business Administration, Management or related fields.
  • 3 to 5 years of experience as a Personal Assistant.
  • Experience supporting senior executives or working in a fast-paced corporate environment.

Knowledge & Skills Required

  • Excellent organizational, communication and interpersonal skills.
  • Able to handle sensitive information with high degree of confidentiality.
  • Able to travel and work flexible hours, including after office hour functions.
  • Strong multitasking and time management skills.
  • Fluent in English; proficiency in Bahasa Malaysia is an advantage.
  • Tech-savvy and proficient in Microsoft Office tools.
